Agency name and year

First, could you move the agency name and year drop-down menus to the right of the green box? I will develop a mock-up for this, which will also include the image or link to the image we want to send them to.

In addition, can these answers remain selected even after a user changes the action?

Hi abyot,
just a question: what was the name of the program needed to download the pdf of the list of questions and answers in the survey? I am adding a line to the user guide I am writing to inform our users about this possible issue.

Output 1.1.1: level of support (explanation)

In Output 1.1.1: "Please rate the level of support provided by the UN Network to complete the multisectoral nutrition analysis":

  • In the explanation box, can you put the definition of the different levels of support on 3 different rows? Like this:

Light Support: .........
Moderate Support: ...........
Intense Support: ........

I know that Chloe already asked you this and try to fix it herself but it was not possible.

export the survey in PDF

When I tried to export the survey to PDF, it goes directly to the the 'print section'. If you try to exit that page, the system doesn't allow you. You have to click on the arrow on the top left, but then you are sent out of the dashboard page and need to log in again. Why?

  • Can we fix that?

  • Can we allow our users download it and eventually print it, if they want?

  • Moreover, the PDF opens in the same window as the system. Nicolas would prefer if PDF opened in a different window.

Inventory database

Hi @abyot ,
To recap our call today, we decided on the following things:

  • In the green box the user will select the survey, the agency, the year, the thematic area, the action, the instance, and the geographic areas in which the action is taking place.
  • The selection of multiple org. units will be done by "multiple selection" from the tree, and will appear as a grey list in the dropdown box.
  • There will be an "Add" button the top to generate a new instance (with a sentence of explanation that I can draft), or the user can select Instance 2 from the dropdown menu in the green box.
  • The Reports section will generate tables of aggregated data, as I provided in Excel.
  • For actions that don't have a Thematic Area (social protection and multisectoral governance), the name of the thematic area can simply be the name of that Category (example: food, agriculture and health diets).

I think that's all.

Output 5.5.1: add sub question

  • Please add the following sub question after the question already existing in Output 5.5.1

"Please briefly describe the UN Network’s involvement and activities this past year towards Output 5.5.1
Please make sure to articulate the contribution of the different UN agencies to the activity, specifying if the support was evenly distributed or if one or two agencies were more engaged (please provide the name of the agencies engaged)."

Dashboard call notes from 26 Sept 2016

We would like Abyot to change the following things in the Inventory tool:

  • Create another "survey" that includes only Outputs 5.3 and 5.4, which will prompt a new drop-down box in the green area, where the user can select their UN agency. The answers to these questions will then be tagged to those agencies in the database.
  • Required questions: Every top layer question must be answered by Yes or No before a user can "Save as Complete". In addition, if the user selects Yes to one of these, then they must answer every question that will appear below it.
  • When a user tries to click complete if a question has not been answered, would it be possible to identify exactly which ones have not been answered? For example: "Please select an answer for each question listed under Output 4.5, Output 5.2 and Output 5.4. If this output is not applicable in the year being reported, please select 'No' for all questions listed. "

In addition, here are some more requests since I reviewed the tool today:

  • Could you please change the name of the App from "SUN survey" to "UN Network for SUN Annual Reporting Exercise"
  • Could you add a line or divider between each of the "top level" questions (the first ones that always appear), so that when a user has selected Yes and the questions below pop up, they can still easily see where this set of questions ends and where the next "top level" question is.
  • Some questions should only appear when the answer selected is "No". For example, there are some in 5.1 and 5.2. However, I think it is better if we wait until we have the new version of the questions before modifying these things, because it may not be relevant anymore.

Alert when report complete

Could you create an alert in the Messages section when reports are completed/submitted (green button pushed) ?

# 23 problem with Data Visualizer

Hey Abyot,
I am with the data entry user, and I would like to create a graph related to a question in the survey. As mentioned over skype, when looking for the kind of answer that matches the question selected, I can't scroll below UN Networks supported categories. I can't find yes/no answers and so on.

  • Can you please fix this?

Same things for the Organisation Units. I can only scroll down until Kenya.

  • Can you please fix this as well?

Definitions

Hi @abyot
We noticed that the definitions are now showing up above the questions instead of below them. Why is that ? We preferred when they were below. Could you please move it back to showing up before the questions?

New questions on visualizations

Hi Abyot,

  • Could you please create graphs visible in the system homepage (the first page you access once logged in) for all the data already inserted in the survey? Meaning, each question and sub-question should have their answers represented in a graph. In this way we will able to understand how the graphs will really look once our users will complete the survey. Thanks.

Can we plan for a call - then I can explain some of these things.

  • Could you please explain how we access country specific data from the aggregated data dashboards visible on the homepage? It would be good to have, for each answer, a dashboard with aggregated data and a separate one with data coming from each country.

  • How can we make some graphs on the homepage public (e.g. graphs with aggregated data) and others visible only to selected users (e.g. graphs with country specific data)?

_This is managed through sharing - i.e. one can share graphs with other group of users. Each visualization output - whether chart, table or map - has a sharing setting through its favorite menu. To manage sharing, first we need to define our user groups.

  • We talked about a public dashboard page to be accessible from the outside. How will it look? Will it be read-only?

Yes, public dashboard is read only. I am working on it and will share when it is ready.

  • In the data entry green box, when selecting the year you want to insert data for, can you please leave only 2015 and delete the others? Data will refer only to that year anyway.

The point with having multiple periods is that what if users want to enter/modify/view last or previous years data. By displaying only 2015, you are effectively blocking no access (through data entry module) to previous data. Is this what you want?

  • Will you provide all our users with a user name and a password (to be changed later) when they first log into the system, or they will have to do it themselves? Do they have to create a profile the first time they log into the system?

This is an implementation issue. Anyone with "admin" user role can create as many users as needed. If you want me to create - then I need a list of your users. But, I would be happy if I could say away from implementation issues. Sure, I can advise and provide suggestions.

  • We've seen that you inserted the "Country Report" button next to the green data entry box. It looks nice. but it's more like a list of the questions and answers rather than a real report. Could it come with graphs and dashboard as well (similar to the ones shown in the homepage) ? We can prepare a mock-up for you so that you can see how we want it.

Public dashboard

A very limited and read-only public dashboard is now available in the system.

If the intention is to provide more interaction with the general public - say for example allowing to pull different data, pivoting and rearrangements - I suggest to provide login access with limited authority.

Moving the graphs in the dashbooard

Hi Abyot!
One question: I have noticed that any user who logged in can move the graphs in the dashboards they see (also the global dashboard).

  • Can we allow countries to change the disposition of graphs only for their own private dashboards and remove this option for the public dashboards (global and country level)?

We would like to decide the disposition of the graphs in the public dashboards without someone else changing it.

Dataentry users: errors to fix

Hi Abyot,

I used the data entry user yesterday and I noticed that data entered are not saved automatically as it should be, the box turns red and not green.

  • Can you please fix this?

reminder

Hi Abyot,

I know we have already talked about this, however these two things are very urgent.

  • could you please create a user profile (with level of access/permission different from ours of course) we can access with, so that I will be able to see what users are really going to see and what they will be really able to do/not do.
    I am asking this because I am creating a short manual for our first users and I need to know what they really need to be instructed on. I want to avoid writing a chapter on how to do or use something that they will not be able to play with or see.
    We can then use those level of access/permission for creating other users profile ourselves.
  • Can you also create graphs for each answer inserted in the survey? Both at aggregated level and country level. It would be also good if on top of each graphs there was the correspondent question (with its full text) with its numeration (2.1.3, 5.4 and so on). This way we can easily understand what that graph is referring to. At the moment it's a bit confusing.

I know you suggested to talk about those issues during our call, but the manual I am preparing need to be ready by Friday, therefore I need to be able to access with the user profile and see all the graphs they will be able to see before that date.

There are many other things I need to ask you during our call but please take the points above as priorities.

URGENT Pilot test Users Profile

Hi Abyot!

So, as on Monday our pilot test will go live, I have created 3 users profile for the colleagues who will fill in the survey. They are:
User name: UN Network_Guatemala Password: Guatemala123
User name: UN Network_Sudan Password: Sudan123
User name: UN Network_Kyrgyzstan Password: Kyrgyzstan123
I have created those profiles by duplicating the dataentry one. However, when accessing the survey with one of the profiles above, if I try to start the survey I can only select Test Country 1 or Test Country 2 among the Organisation Units.

Can you please help me with this?

Add a new section in the Outcomes bar

Hi Abyot!
Thanks for the amendments you made. I will discuss with Chloe on Output 5.3 and revert.
In the meantime, as per the document I have sent you,

  • can you please add another section called "Contributions of the UN Network towards achieving nutrition goals and objectives" after Outcome 5?
    This section will include two questions. Please look at the last page of the document I have sent you.

Notes from call on 1 Sept 2016

There have been a few updates since the emails that Chloe sent Abyot previously:

  • We will ask for the Dimensions taking place in every region
  • We will not add the option of a "central" geographic level. We will have only "national" and the first sub-national level (such as regions, but may sometimes have another name)
  • We are calling "Instances" the number of times that one CAN Action from the list is reported on.
  • In the Excel tool that I sent Abyot, we have decided to remove the Investment size called "staff time only". Instead, we will only have small, medium, large and very large.
  • We do want the system to be able to generate graphs based on combinations of data.

To do:

  • Chloe will send Abyot the new Excel Tool (the only changes are some text changes in the instructions and the removal of the Staff Time Only columns)
  • Chloe will review the reports and upload new ones to the Drive next week.
  • Chloe will develop a list of the graphs that will need to be generated by the system (understanding that the system may have visualisation limitations which we can work with)
  • Abyot will re-organize the data entry to be able to accomodate the creation of graphs and maps.

Data entry screen:

  • The unique identifiers will include Instance number, and pre-existing options will go up to 20. Abyot will add the possibility to add an additional number (like SUN PMT's add a stakeholder feature) in case we need more.
  • The first questions in the data entry screen will be the ones that are not region-specific (as Abyot had suggested in a previous version).
  • Table of Dimensions and Regions: The regions will then be presented on the y-axis, and the 6 Dimensions will be on the x-axis. Users will be able to check the boxes.
  • Abyot will make the above changes to the data entry screen

Question modifications

Hi @abyot,
After Q.1.1 could you add a sub-question, if they say yes, that is a table as the one highlighted in yellow on page 3?

After Q. 3.2.2 could you add a sub-question, if they select yes, that is a table as the one highlighted in yellow on page 10?

I added this question: 3.1.3. Has the UN Network provided support to scale-up sustainable nutrition-specific and nutrition-sensitive interventions and programming?
But I didn't know which number to put for "Order". I put 3 since the previous question had that. Could you help explain or fix this?

Question 4.1. I was not able to change the description because when I tried to save, it gave me an error message as the one attached here.

  • can you please leave the search box just above the Organisation Units tree open? (now it's not easy to understand that you have to click on the green magnifying glass to search for your country).
    Actually I've tried to click on it but it doesn't open! What happened?

UN Joint Programme and Nutrition Objective answer options

  • Please correct the typo in agencies (adding the i).

  • Joint Programme: Please change the drop-down menu answer option for NO to say: "No - Not part of a UN Joint Programme"

  • Nutrition Explicit Objective: Please the drop-down menu answer options to:
    Yes - Has nutrition explicit objective(s)
    No - Does not have nutrition explicit objective(s)

  • Aligned to Country National Nutrition Plan: Could you add an answer option called "Not aligned to Country Nutrition Plan"? (I am removing "national" to make it shorter)
    In addition, you suggest that you would be able to make it so when they select this, the rest of the answers are deleted from that box. That would be great.

  • Aligned to Country Core Nutrition Actions: Could you add an answer option called: "Not aligned to Country Core Actions" (I am removing national to make it shorter)

Reworking the financial and staff questions

Could you change the location of the question to the top left of the table?

Organisation Unit Renaming

Hi @abyot ,
I have a question about renaming the organisation unit in the green box at the top of the data entry screen. If we rename it to "SUN Country" for example, would it be possible to rename this throughout the entire system, so that a person using the reporting app can see that name as well. We are worried that people won't know what "organisation unit" means when using the system (for data entry and for creating graphs).

If it's not possible to change it everywhere, then we should leave with this name in the green box. I will just create a definition and we can add an information icon to explain it to users.

Naming the app and icon

Could you please name the app UN Nutrition Inventory and add the same logo in the top left of the data entry screen ?

Buttons

  • Please move all buttons to the bottom of the data entry page

  • Please change the blue button to say "Apply data to geographic areas".

  • In the pop-up window that lists the organization units, please add the following instructions above the tree: "Select the geographic areas that this data applies to. All answers will be applied to the areas selected, but this data can be edited later by selecting a specific area from the menu to the left of the main data entry screen."

  • Please change the red button to say "Remove data from selected geographic area"

  • Please add a button that says "View data as table" and enable the user to select for which organization units they wish to view data.

  • Please add a green completeness button that says "Mark as complete". I will add this button in my mock-up that I will send you so that you know where to place it.

  • The green and red buttons should not be click-able until all the answers have been filled for the unique identifier combination.

#18 Red instruction box

The red instruction box on top of the different Outputs doesn't stand out. I mean, the color does but not the text.

  • Can you please add the word IMPORTANT in capital letters at the beginning of the sentence?
    Like "IMPORTANT! Click on questions with an information icon to view their definition. All questions in every Outcome must be answered before submitting the report."

Maybe IMPORTANT could be bigger than the other words?

notification when the report is complete

This is just an information:

When users mark the report as complete, who will receive a notification? Only us or other users too?
How is the system set at the moment? We would like to be the only one to see the notifications and the inputs entered.

Public Dashboard

Not sure this should be entered as an issue, but could you please work on setting up the "public" Dashboard?

Renaming

  • Could you please change the levels of support to "light support" "moderate support" and "intense support" ?
  • Could you rename the UN Network Survey to "UN Network for SUN Annual Reporting"
  • Could you change the green button to "Report Complete" and the red button to "Report Not Complete" (I think this will be good enough for now, to distinguish that we mean the whole survey and not just this outcome should be complete)

Custom report

  • I will send you an example table of the report we would need to produce quickly for each country.
  • Could you then develop this report?

Output 2.2.1: add subquestion

In Output 2.2.1, if people answer no to the question "Are dimensions of equity, equality and non-discrimination integrated into these documents? ", another sub question should open up saying "Please explain why the dimensions of equity, equality and non-discrimination have not been integrated into policies, strategies, plans and programmes."

  • Can you add it?

New modification requests

  • 5.4.2.: Add the title “Agency” as a title above the columns of agency names and add the title “Level of staff” on top of the left column containing the levels of staff.
  • 5.4.2.: Change the words DEDICATED TO to capital letters. In 5.4.3. make the word CONTRIBUTING TO in capital letters.
  • Remove all red asterisks.
  • Add an information icon to all questions that have definitions. In addition, could you add them to all the "level of support" questions since I need to add those definitions?

I can't do this specifically to "level of support" questions, instead generally for all with description. Those without description won't have the icon. So when definition is added to "level of support" questions, they will have the icon, until then they won't.

  • Instructions box: We will send you a mock-up of the colors we want, but in the meantime would you please modify the text to the following: "Click on questions with an information icon to view their definition. All questions in every Outcome must be answered before submitting the report.
  • Output 3.2.2. Please add the Yes/No question before the activities are listed.

How exactly? What is the wording of the question? Just one Yes/No question for all or each having own yes/no?

URGENT OUTPUT 5.3 (JOINT PROGRAMME) NOT COMPLETE

I have noticed that the table on joint programmes has not been completed yet...as we would like to launch the pilot today, can you please let us know when this table will be completed?

Output 4.1.1: add question

As per the document I have sent you, if people answer Yes to the first question in Output 4.1.1,

  • can you add the question "If yes, please specify which kind of support was provided by the UN Network to establish and/or operationalize national sectoral and/or multi-sectoral nutrition information systems (including surveillance systems)"

This question should appear before the subquestions "Strengthening sectoral information....Establishment of national, multi-sectoral....etc."

At the moment, it's not clear what the sub questions refer to.

Definition of Organization Unit

When the mouse hovers over the question mark icon next to Organization Unit, could you please change that definition to this one:

Organization Unit refers to the geographic area for which you are entering/viewing data. Use the menu on the left to select a country or sub-national area and enter/view data specific to that area.

  • Can you please deactivate the option of double clicking on a open question to view its history?

It's not necessary at the moment. Maybe we can introduce it later on, but for now it would be better to not have this option.
