2018-global-sprint-planning's Introduction

Welcome to the 2018 Global Sprint Planning Repo!

This year's sprint takes place on May 10 and 11, 2018.

At the Sprint, contributors and project leads gather in person to work and hack on open projects, learn new skills, and hang out together at local host sites. For those not near a host site, virtual participation is encouraged. The 2018 Sprint will bringing together contributors from all corners of the network-- educators, devs, researchers, librarians, activists, and designers-- to collaborate on code, curriculum, and tools.

Who can participate? What kinds of things might they do?

Anyone from across the network can join the Global sprint as a Project Lead, a Site Host, a Participant/Contributor, or in a combination of roles. On the public-facing site we have information and instructions for each role (updated info coming soon).

  • Project Leads bring their projects to the Sprint and facilitate contributions
  • Site Hosts coordinate a local work space and promote the Sprint to their local communities
  • Participants bring their varied amazing skills and energy to push Sprint projects forward.

What can Mozilla staff and volunteers do to help ensure a successful Sprint?

  • Recruit Sprint projects Direct potential leads to Global Sprint site and submission form. More about coaching Projects & Project Leads here.
  • Recruit Site Hosts Partner groups, institutions or orgs make great site hosts. More about wrangling Sites here.
  • Recruit Participants Get the word out! Blog, tweet, and post on your preferred social media sites about the Sprint! Highlight it in your community calls and other comms! More about comms coming soon!

What's the timeline for my participation in the Sprint? What needs to be done when?

See this roadmap for key sprint dates for registration, communications, etc.

What kind of online tools and platforms will be in use for/at the Sprint?

  • A public facing site (in process)!
  • Ti.to for site and participant registration
  • Network Pulse to feature Global Sprint Projects
  • Vidyo and Gitter Chat or Slack for Sprint Communications.

I have questions, who do I ask?

Create Registration Forms

We need forms for:

Projects -- last year's form here.
Sites --last year's form here

Project form generates GitHub issue in GS Repo. @acabunoc to work on this project.

**Let's add a couple new questions to better capture the story behind each project/site, and each lead's/host's motivation. Suggestions: **

Projects
What's the most unique or exciting aspect of this project?
What impact or change will this project create?
What motivated you to create or join this project?

Sites
What's unique or special about your site?
Who do you hope will join you at your site?

PROCESS

  • Write an intro to the interviewee. I take from their bios here. Leave a comment asking them to approve the intro / invite them to make edits.
  • Edit answers. If needed, I ask any additional questions and maybe re-order existing questions. I use the 'suggest' and 'comment' features in gdocs. I also make sure we have a good hero image for the interview. Wait for responses.
  • Once we're all happy with the content in the google doc, I stage the piece on Medium. I send the preview to the interviewee for any last changes.

Sprint Swag Preparations

@stephwright is 2018 Swag Queen! ❤️

  • Determine this year's swag-- let's make a cheap but varied packet of goodies for site hosts.
  • Order Swag (receive by March 15)
  • Copy and update Swag Request form

Possibilities for 2018 swag:

  • Sprint Fox Stickers
  • Mozilla Stickers?
  • Any leftover "Web For All" stickers from MozFest, or reprints of that design?
  • Small number (10-15) pre-printed flyers or postcards for site promo (use web graphics, leave space for address/contact/hours)? << especially useful for those in Africa/India who don't have printing capabilities

Please discuss and document progress by commenting on this issue. 😸

Open Registration

To open registration, we need to add the Global Sprint site map to the Foundation site. Embed code is on this Staging page per @xmatthewx

Registered sites are here. I'm updating to add Ti.to links on an ongoing basis. @auremoser let me know what additional data you'll need to create the database and generate the map (country codes?)

@kristinashu any edits to the Registration page (currently hidden) to accommodate the map?

It would be FANTASTIC if we could get the Registration page up by Thursday of this week!

cc @acabunoc

Thanks 😃 !

Create communication plan

From meeting with Kevin @KevZawacki & Lotta @Lottarao

Insights

  • press are most interested in individual projects
  • if they are remote or in a unique local, sites could make an interesting story
  • what is the motivation of the project lead/site host?
  • look for stories that are bigger than sprint
  • can this serve more explicitly as a kick-off event around IH learning?
  • fellows involvement-- splice together video of fellows talks?

Foundation comms priorities:

  • OKR for more fellows press
  • stress the global aspect of the sprint

To-Dos

  • Kevin to create comms plan -- draft before Feb 12th launch(?)
  • edit project & site form to look for stories (work with ACM) see #3
  • review and create a list of project and individuals involved for lotta and kevin to work with (this for mid-march)
  • create survey see #4

Add a Content License to the GS repo

Abigail P. says:

"The Github Global Sprint repo only has a software license. I would include a content license as well, especially since this is the advice Mozilla gives to Project Leaders."

Abby, can you add? Thanks!

Feedback on the website and Gitpages

The website and gitpages look great. Loving the new banner and the stories. The layout feels very accessible and not too loaded- Well done !!!!!

I noticed some gaps in information I want to share

  • On the foundation home page of the home page [https://foundation.mozilla.org/opportunity/global-sprint/] you don't mention anywhere that there are three ways to participate- I can see the sidebar but as a noob, that nuance might be lost on me

  • under project lead page on the foundation site the first point
**Every project entered in the sprint should:
Have a designated project lead to handle the application process- this reads that I need to find my own- it would be good to clarify that the GS allocates you one

  • In gitpage for site hosts
Under participation guidelines- do we want to say CPG training is mandatory?
There is one spelling mistake- should is missing the u

cc @zee-moz

Create Survey for 2017 Participants

Survey should be sent to all leads, hosts, and participants
Draft list of questions:

  • Did you attend Y/N
  • At the 2017 sprint, I (check all that apply) contributed to my open project, contributed to someone else's open project, networked/met people, learned a new skill, started a project, did something positive for the internet, learned something new about working open, other
  • Role (check box)
  • Rate your experience (1- poor experience to 5- great experience)
  • Would sprint again Y/N
  • Your field/background
  • Areas of interest (from IH list)
  • Finish this sentence (optional) At the 2018 Sprint, I would like to...
  • Any thing else you'd like to tell us? (optional)

2018 Sprint Goals & Metrics

Note: these are not necessarily public facing goals and metrics-- these are internal benchmarks for 2018. We will collect this data, but aren't limited to it.We will measure all activity by all participants (both contributors and project leads) across all projects in the Sprint, but specifically we look for:

Project and participation #s
75% increase: 122 sites; 189 projects.

** Project Activity Metric: increased and sustained activity on all projects**
Compare average activity across all projects:

  • 1 week before the sprint
  • during the sprint,
  • 6 weeks after (for sustained contribution
  • Goal: activity up 300% during sprint, up 25% after

Contributor Growth Metric: increase in # of high-engagement events by contributors who are during the sprint
(note here "contributors" means those coming to a project, vs those leading that project)

  • Issues opened or closed
  • Pull requests opened, closed, or reopened
  • Goal: increase # of meaningful contribution events by 50% over last year

Create temporary Project page on Foundation Site

we need projects to appear on the foundation site, to help drive registration
per @xmatthewx we're some time away from pulling in projects dynamically from Pulse.

@kristinashu, using the "three images" structure we used for the Sprint stories, could you set up a project page grid of six project images that link to entries on Pulse, and a big button that says: click here to browse featured projects on Pulse? We'll also include a link to all projects on GitHub.

For this temporary page, here are the six we'd like to feature. All have submitted to Pulse:

  • Neutrino
  • Web + Messaging
  • OpenSNP
  • gPanel
    -WikiPathways

@acabunoc these projects are still in moderation. do we have to wait for coaches to do documentation review? or are they strong projects that have know good documentation so we can approve now to get the page going?

Review of 2017 Site Content and Materials

The 2017 site is here
The planning materials (wrangler guides, etc, created last year for Hub staff) are here
Deadline for review: 2/7 if possible.

Pls review with the following questions in mind:

  • What's not clear?
  • What's hard to find?
  • What could be better organized?
  • What could be removed/edited down?
  • What might be missing?
  • How can the site better convey the experiences/opportunities of the Sprint
  • How can the materials appeal to or welcome to broader audiences?

We got the following feedback in our debrief:

  • “there was a lot of great info on the website - I heard feedback from a few people that it was hard to navigate through all of it, especailly since they were usually looking for something specific (rather than 'for project leads', 'for site hosts', etc) << what were the specific things they needed? - usually site or project list
  • “Perhaps develop a webpage that's more closely linked to the Network site or Mozilla.org -- something with similar branding and language”
  • “I think it will help to create user scenarios for the sprint next time - speaking to the points below about including more moco staff and non-digital people/projects - we could prepare stories of how different types of people might benefit...ex:
Dome, Kenya. Software developer working on XXXXX wants to prototype......
Judy, Pune India. Teacher wants to practice using github so she can use it in the classroom....
Betty, farm owner in Rwanda wants help on a new website to advertise her products…”

Please add additional feedback as a comment on this issue

Convert old GS site to Training site

We're converting the old GS site to just host the training pages, as all other info is on the Foundation site.

We do have a NEW GH pages template for curriculum that matches the foundation site design!

It lives here, in this forkable repo.

Notes on the development of this template are here.

@acabunoc I'd like to use this GH pages template for the guide on the GS site. Since we need to preserve the issues from the GH, we can't fork web-lit-core. Can we instead copy over the relevant files and I can just copy-paste in the content? Let me know if this is doable. Again, all pages except for 3 training pages need to go away, as GS landing page is now on the Foundation site.

Maybe this is a fun(?) thing you might do if you're bored on Monday 😉
