Better communication: What is it?

I posted the link in my university's facebook group today and two people complained they didn't really get what RailsCamp is about.

I think a short explanation on the main site would help. Something along the lines of the blog post, but also mentioning that it's about Rails (but not limited to topics around Rails, also Ruby). I'm not good at formulating this, but it will definitely help to get info about this event to total beginners.

Donation receipt

We were asked if we could give out a donation receipt for multiple ticket purchases.

  1. Can we give receipts so that they are tax relevant for Germany?
  2. What would be the amount? The payed sum or our 'cut'?

Something special on Friday?!

Some of you might know Bunte Burger. It's a mobile burger grillerei from Cologne. I had the idea to have them at the Abenteuerhallen on Friday. @Mobbit and I would love to have them there - because it's all vegan and really tasty! : )

Speaking of Friday: What about having a party? Wasn't it already planned for last year? But I don't remember a party (or I just missed it). Party is not a must-have, but it would be nice to have something special for those who already arrive on Friday - something like Bunte Burger! : )

Any opinions, ideas, additions?

Marketing

Like last year, let's go and do some marketing.

Here are some potentially worthwhile things to try:
email/twitter to ruby usergroups
write to the main ruby news outlets: rubyflow, ruby weekly, ruby5, ...
invite other rubyists personally
do some marketing in our neighbor countries: netherlands, belgium, poland, france, switzerland, austria, ...

Session planning as IFRAME

Instead of using the direct link to the session planning provider we could put the content into an iframe located on our 2014.railscamp.de website.

create newsletter with mailchimp

Goal: Create a "railscamp_de" newsletter to inform all the potentially interested people with progress and useful information about the event

  • import emails from last years attendees
  • broadcast that the newsletter exists and that everybody that's interested should sign up
  • integrate a signup form on the new website

Camping / accomodation

Where could guests sleep?

I think the skate hall would be only usable on Friday night and Saturday from 22:00.

Wifi

We will need equipment and people to set it up.

@thilo can you tell us exactly what kind of equipment the Ruby e.V. has bought and how we would be able to use it (shipping, etc.)?

Hamburg area RailsCampTrain

Whoohoo,
I'm looking forward to another awesome RailsCamp weekend in cologne. And traveling by train with some peeps from the greater Bremen area (Hamburg, e.g.) would be really great!

So let's do do some planning on that.

Traveling time is around 4h from Hamburg. I would prefer connections without train changes.

So, what's your preferred traveling time? Currently I'm not sure, maybe somewhen in the later friday afternoon might be a good arrival time.

Badges & Reception

We decided that we will have simpler badges than last year. Just the red-white striped tape from last year and the particapant name on it.

We will also need people to man the reception area, hand out badges, take in cash, ...

Workshop for Codecademy Finalists?

I'm new to Ruby eg Rails, therefore I would like to get in contact with experienced people who could help with taking the steep learning curve of Ruby/Rails.

I didn't read many of already posted issues, yet I have an idea of offering two "Ruby/Rails Beginner Workshops" at the summit. The idea is, that everyone who wants to participate in those workshops is suggested to finish the following Codecademy courses:

This would give the learner the chance to find specific topics which are difficult to understand and also raises the workshop level to an all in all almost same student's knowledge level.

Therefore, the teachers ...

  • know exactly which knowledge level is present
  • which topics every student took
  • can prepare himself to a certain level of knowledge
  • and can develop an even better "on the job" development example to teach further things.

On the other side, the students ...

  • are initially motivated to finalize the basic concepts of Ruby
  • they are giving a hand by Codecademy students
  • they gain more confidence by participating in the course
  • they see exactly see with which topics they have further questions
  • the entire class starts with almost the same level.
  • they could group together before they see each other in the workshop
  • are well motivated to participate in this workshop
  • and they will gain even more confidence in asking questions

Benefits:

  • The workshop will be the right place to ask all unclear topics
  • It may be more interesting for each student, because everyone can ask the really important issues
  • Students help each other while also have their own questions
  • No one has to be shy to ask questions on the Codecademy course's topics
  • The open topics are explained by experienced teachers in class.
  • It's easier to ask questions for students
  • The students learn from difficulties they or others had

OMG, I wrote so much. To sum it up, I think you get the idea. Now it's on you to say what do you think of that spontaneous idea :)

Who will take care of the BBQ on Saturday? @schorsch, will this be under your command like last year? : )

(Shared) Accomodation

Of course all participants will have the opportunity to camp at the venue "like a pro". See: http://2014.railscamp.de/venue/ Otherwise this event wouldn't qualify as a real RailsCAMP.

All others can use this issue to offer/request/share/ask for other accommodation options in Cologne.

Feedback-Board

We should have a feedback board like jsunconf had one. This would be a good place for people to leave some feedback on the event. Would anyone organize this?

(Btw, we’re talking not about a digital board here ;-)

Finding a date

I wrote to the Abenteuerhallen last week and again today. Wednesday evenings they always have their team meeting and I hope to hear from them after that.

Again, here are the potentially possible dates, in prioritized order:

  1. 26-28 Sep
  2. 30-31 Aug
  3. 15-17 Aug

CoderDojo @ Railscamp

The people behind the Coderdojo Cologne (https://www.facebook.com/coderdojocgn), are planning to have session during the Camp. The objective is to teach "coding" to children (of roughly ages 7-14).

Let's collect all information about the dojo here.

Date: Since the the Coderdojo events have been on Saturdays in the past, I would think it will take place on the Saturday of the camp the 27.9.

Location: If the small room upstairs is enough I think we should block that room for Saturday. If more space is needed we need to figure out something else.

Presentation-Slides optimization

I guess we should advise all potential speakers to keep their slides in black on white style, especially for code snipets.

I found it rather difficult to read some slides in the room at the froscon. I guess, even with a good projector, it will be even harder to read at the venue.

@erdnusskeks maybe you can tweet about it or even add a blog entry? or whoever is in charge.

Rooms/areas

We should have the followings rooms/areas:

  • Main stage
  • Lounge/Bar (drinks, coffee, fingerfood, chillout)
  • Outside area (tent, beer garden)
  • Main room upstairs (for up to 30-40 ppl)
  • Small room upstairs (for 10-20 ppl)
  • Siebdruck room upstairs
  • Skate hall (from 22:00 until 12:00, for sleeping)

Feedback from last year was that the Main stage and the Lounge were a little too close to each other. Maybe we can find a better solution for this this year.
