Sponsorship Checklist

I have created a spreadsheet that contains the templates of checklists that we need to run through while we coordinate sponsorship with different organisations. Making it easy for us to keep a tab on requirements from their end and things that we have offered to them.

Feel free to change/add anything that I have missed. Meanwhile, it'll be awesome we can start adding details of the folks/organisations that have agreed to sponsor.

Outreach plan for the conference

Immediate Outreach

Over this weekend, we'll do the following to reach out to the broader audience:

  • @jinalfoflia to schedule some tweets from the official Twitter account.
  • @geohacker, @planemad, @tejas, @jinalfoflia and everyone else to share the details about the conference to their personal contacts and folks who might be interested in being a part of the conference
  • Share email with all the details to the university contacts who would benefit from attending the conference

It'll be great if everyone could list out the contacts folks are reaching out to.

I'll soon post the detailed plan for us to work post I'm back from the trip.

Volunteers at the conference

We'll need volunteers for the conference in the following areas - let's put out a call, and collect names and interests:

  1. Welcome desk
    Registration, badge assembly, answer sign up questions - at least 6 people in the morning. 2-4 afternoon.

  2. Door pointers and guides
    General volunteers help with the overall space. Answer questions, point people in the right direction. 6 people.

  3. Session team
    We've two rooms, and we'll at least 2 people per room at all times. 8-10 people in shifts.

Here is the tentative timeline for us to work with:

Questions:

  • The deadline to submit CfS is ~ a month, will that make sense? I kept a shorter deadline because this will help us gauge the participation as well as help us extend the deadline if we don't meet the expected number. Would like to hear thoughts on this
  • Time given to folks to submit proposals is around 2 months, is this too long or good enough? Do you think having a shorter timeline would make it easy for the participants?

Sponsors to followup

We have to start getting a sense of interest from sponsors. We'll use this ticket to list people we should reach out. @maning - it'll be great if you can do first round of outreach to gauge interest. Can you help?

Tote bags!

We're going to print tote bags this time as well. Last year they proved to be really useful and has a lasting effect for participants to take home.

@TejasAP and I have been talking to a few vendors. One of them is https://aliciasouza.com/ - their pricing is as below:

100% cotton canvas in 13.5" x 13.5" with both side screen printing 3-4 color print, the price is working out to be Rs. 135/- + GST + Transport

The other one is corpattire based in Bangalore. Still waiting for quote from them.

Arranging hotels/accommodation near the venue

We need to find accommodation[s] that could be recommended to the delegates attending the conference. It would be great if could get these rooms at a discounted rates. We could maybe offer them to be our accommodation partner or so.

Inviting knowledge partners

From the March 23 meet:

  • Having knowledge partners for SoTM can help build a strategic network of individuals and institutions to nurture the regional OSM community in the longer term
  • Can help diversify the participation of the conference beyond the usual software/tech oriented event

Lets use this space to better define what the criteria for a knowledge partner for SoTM Asia should be and potential organizations that could result in a fruitful partnership, like the Wikimedia foundation #15

Venue

We've a good set of venues here.

What we look in a venue:

  • 1 big auditorium that can fit about 250 people.
  • 1 medium hall that can fit about 100 people
  • Space for breakout sessions / bofs
  • Proximity to hotels - we like how Kathmandu did this by hosting at a hotel. It made a huge difference for everyone to stay at the same venue. Given the traffic and commuting situation it'll be ideal to find a hotel.
  • Internet / AV - we'll evaluate based on the above. There's a chance we might have to run this out ourselves.

Dr. Anita Patil-Deshmukh, Executive Director of Pukar

Bio as received from speaker:

USA trained faculty neonatologist by profession, self taught social scientist by passion and
developmental researcher by preference; Dr. Anita Patil-Deshmukh is the executive director of
Partners for Urban Knowledge Action and Research (PUKAR). Anita received her Master’s Degree in Public Health from Harvard and worked as a faculty Neonatologist in a teaching institute in Chicago over 25 years.
She played a major leadership role within India Development Service (IDS) a pioneering Chicago based organization supporting developmental projects in India for which she volunteered over 15 years. She relocated to India in 2005 to contribute to the developmental sector and joined PUKAR. Her research interests are urbanization, urban poverty, health and urban knowledge production through the lens of youth.

We'll print stickers through juststickers.in - mostly because I've worked with them before and they are quoting the following:

Organizing the Program committee

We are kickstarting the program committee. Let's convene and discuss our next actions for the event. Main responsibilities of this group are:

  • Define acceptance criteria for presentations and workshop proposals.
  • Review submissions based on ^^ criteria.
  • Prepare and send communications to applicants in behalf of the organizing team.
  • Prepare the final conference program.

Planning for Call for Proposal

Writing this ticket to prepare for Call for Proposals. The sections given below are the action items that are required to get this going.

Announcing the Call for Proposals

  • @maning to lead out and form the proposal review committee
  • Set up a timeline for accepting, reviewing and announcing the selected talks + workshops for the conference
    Here are the tentative dates that I have come up with:
    • Announcing the CfP -> April 1st -> Tentatively: 4th April

    • Review proposals -> 2nd July -> TBD -- Based on the planning committee

Event format

Let's figure out a good event format. What we've done previously:

  • Day before the conference - mapping party.
  • Day 1 - keynote, talks, workshops.
  • Day 2 - talks, happy hour.

Feedback from 2017 showed a number of people interested in a day dedicated to workshops. How does something like below sound to you all?

  • Day before the conference - mapping party, workshops. Parallel, may be different venues depending on number of worksops
  • Day 1 - keynote 1, talks, bofs.
  • Day 2 - keynote 2, talks, happy hour

Tiered-pricing for tickets?

Sajjad mentioned this in the meeting yesterday, but my audio was choppy so I may have missed a lot of what was said.

I believe that we should seriously consider ticket sales as a way to cover some of the expenses for SotM Asia events. While we don't expect it to cover most of the expenses, we can at least reduce the amount of money organizers need to raise to make the event possible.

We would also want the event sessions to be accessible to as many people as possible. So, how about a tiered-pricing structure for tickets? Additional reading: The psychology of free vs. paid events.

  • Tier 1 - Pay what you like,with a recommended minimum amount. Access to all sessions.
  • Tier 2 - X amount, and ticket holder gets a nice, printed Certificate of Participation.
  • Tier 3 - Y amount, Certificate + T-shirt (with the advantage of knowing how many t-shirts to order, for whatever size.)
  • Tier 4 - Z amount, Certificate + T-shirt + Free lunch + Happy Hour

Hopefully, the ticket prices can cover the cost of the "freebies", with no consideration for mark-ups.

Also, with tickets, our "Corporate ticket" offer to sponsors makes more sense. We can also offer special discount codes to members of our partner organizations.

Another thing to consider is the administrative cost, and extra effort to do this.

Everyone knows this is a pain, so we're going to have to figure this out. Since OSM India isn't a registered entity or have FCRA clearance to bring money from outside the country, I'm looking for options:

  • Datameet - reached out, no FCRA
  • CIS - FCRA yes, reaching out shortly
  • India Open Data Association - FCRA yes, reaching out after CIS.

We'll offer co-branding for their service. I'll keep this ticket posted.

Outreach plan for SOTM

We'll need a solid outreach plan to effectively communicate about SOTM Asia and that would include:

  • Different blog posts, each highlighting a part of the event. Already being captured in #10
  • Medium for positing blogs?? - #24
  • List of colleges and universities to be contacted
  • Social media outreach plan using Twitter/Facebook etc, like what goes live when.
  • Posters and other printables.
  • Interviews questions, highlighting people's contribution to open data and maps.
  • Different social media accounts - #3 (comment)

Using this ticket to streamline the outreach process and outline a comms plan. Keep the ideas coming in :)
